Welcome Back, Friends!
I hope that you will be able to come to the first PTA meeting of the 2012-2013 school year on Tuesday, August 28 from 4:30-5:30 p.m. in the school library. We will have a couple of the 8th grade students available to watch your kids during this time if needed. Please bring a friend, teacher, parent or community member with you so we can meet our membership goal of 40 members this year. Membership is again $5 single or $10 family this year.

The agenda for the meeting will be:
  • Principal’s Report – We can’t wait to meet Mr. Hurd!!
  • Budget 2012-2013 – review proposed, discuss and approve; Big project item I propose is building a kiosk/marquee at the corner of 40 and 3rd (2nd?) so the school has a name on it visible from the highway and a place where we can advertise games, PTA events, school events, etc.
  • Secretary Vacancy Filled – The Secretary position needs to be filled for a 2 year term
  • Vice President – Becky Lowe agreed to fill this position this year for the final year of the 2 year term; need to vote her in
  • PTA Meeting Time Change – Last May we approved meetings to be held the first Tuesday of the month from 630-730 but I would like to make a motion to change to time from 430-530
  • Welcome Back, Friday, Sept 7 – need to discuss and finalize the plans the teachers have made so far
  • Book Fair (end of September) and Teacher Conference Night – Need a chairperson
  • Concession Stand (22-25 home games) – Need a Chairperson; Will probably have 6 home volleyball games starting in early October; 8 home girls basketball games before Xmas and 8 boys basketball games after Xmas
  • Other Committee Chairs needed for: Bingo/Spring Fling, Graduation, Staff Appreciation Week
The City PTA (an organization in Rapid City that is the umbrella PTA over all the PTAs in the Black Hills area) is holding their annual training for Monday, August 13 at 6:30 in the City Administration building. I will try to attend as some great networking goes on at this training. Everyone is welcome to attend whether you are a PTA officer or not.

Don’t forget that Thursday, August 16, from 5:30-7:00 p.m. is meet the teachers and staff night. I will have a PTA membership table set up at this time. I am trying to get about $50 of “box top” groceries donated from POPS and FTC for the table. Those that sign up to be a PTA member on Aug 16, 28 or Sept 7 will have their name put in a drawing to win the groceries.

Hope that we have 15-20 members at the August 28 meeting!! I am looking forward to working with all of you again this year to make our school community the best it can be.

Secretary Report (Amy) from Sept 6 mtg: Motion to approve Becky Lowe, 2nd Melissa Corr
Treasurer Report (Jeanne): Report of Expenses/Income Balance to date = $9724.18
Since July 1 deposits are 875.95 and expenses are 2452.54 (itemized in report that was handed out)
Budget for 2011-2012 School Year = $22,209. Motion to approve Mrs. Smith, 2nd Sarah Baker.

New Electronic Digital School Sign – Estimated at $8000 and school will not match PTA funds

Fall Festival (Halloween Carnival) – Ladies Auxiliary (Dee Preston) wants to sponsor the carnival on October 29 to raise funds for the Legion Building; .10 per ticket with free will donation at the door. Want to use PTA concession stand and offer food (hot dogs, chips and drink) hours 5-9pm with a magician at 7 pm; costume contest at 6pm with Lintz pizza certificates. They are looking for any baked good donations for the cake walk.

Middle School Dance – October 27 from 7-10 pm

Fund Raisers Discussed –

  • Music Fund Raiser – Judy scheduled November 7for the Schwan Foods fundraiser.
  • Basketball Fund Raiser – hold a tournament to raise money for four basketball assistants (little girl, big girl, little boy, big boy)
  • Sell Pies and other food - $12-$15 each and PTA keeps $5 per pie; also Butter Braids at $10 each; decided to wait until spring to do this


Concession Stand – still short on help for volleyball and girls basketball is quickly approaching; discussed Kari Lund taking over; ask Steph Ornales about Coke delivery;
  • Discussed that parents have asked why no food allowed in gym – Concessions bring in a lot of money and maybe we could earn more. Maybe players or parent volunteers could clean after each game (Becky and Melissa will discuss again with Chip)

Girls VB and BB Uniform Replacement – Michelle called Custer to see what they ordered for volleyball recently ($700 for 40 uniforms -will be ordered through Custer); Melissa made motion and Becky 2nd to approve this; PTA budget says $1500 set aside for uniforms; Becky will look for new girls basketball uniforms as well since we are under budget; old (new in 2010) could be sold

Spirit Wear (Hermosa School Apparel) – Order with a flyer that will be sent home. We may check locally for vendor.

Memorial Item for Trevor – Mrs. Smith’s 4th grade class had mentioned they would like to have books donated to Trevor’s name. Melissa will check into possibly the books earned from the Book Fair being given in his name. Want to order 2 picnic tables instead of a bench now; student council could fund and implement this project

Rembrandt Art Class (Chip) Still hope to start classes this fall

Membership Update: 25 members now registered (31 last year); 9 that did not renew membership from last year

Treasurer Report (Jeanne): No Report of Expenses/Income Balance to date = $11,393
Budget for 2011-2012 School Year = $22,209. Jeanne handed out proposed expenses and income line items (attached). Three changes were made at the meeting (1) Line item 8th grade graduation changed to K/8th Recognition (2) Welcome Back food expense of $150 (3) Add School Music Program Expenses (Judy will let us know how much is needed to make up the difference in her program funding being reduced this year by CSD). Please let Jeanne know by Sept 20 if you have any changes. We will vote on the budget at the Oct 3 PTA Meeting.

· Concession Stand will serve sloppy joes/chips/drink for $3 from 4-6:15 and 7:30-8:00 Thursday only.
· A kids activity will be offered in the small gym during the program from 6:30-7:30

Girls (6-8th grade) Volleyball Home Game (6) Concession HELP needed: Please sign up for concession stand (cashier, serve, clean up) from 4-7pm each night by contacting Amy Ballard 430-0168 ballard@mt-rushmore.net or Melissa Corr 209-1625. Home games are: Sept 26 (have 2 signed up already); Sept 27; October 8; October 11, October 13; October 20.

Christmas Program (Judy): NEED VOLUNTEERS especially to organize, distribute, inventory costumes for NutCracker Play; also needs more support at rehearsals, stage set up, etc. Please see Judy to help.
Hermosa WIKI space (Judy): very good source for finding Tumblebooks, school lunch menu, newsletters, PTA mtg notes, etc and can be accessed at Hermosaschool.wikispaces.com
Rembrandt Art Class (Chip) – Ran this past Mr. Nolan last summer to make up for the loss of the art program at Hermosa; RC school currently offers this after school program; proposed $12-15 a month for up to 4 three hour classes per month. Chip will inquire again.
